Copiers/MFPs sitting dormant for a good stretch of time are often overdue for service.

Rollers go flat, causing jams. Corona assemblies get ozone built in them and print quality takes a hit. Typically, preventative maintenance visits prevent occurrences like this, but throughout the pandemic, these routine check-ups have inevitably become scarce.

Even so, for businesses to run at full speed, they need their workflow workhorse (the copier/MFP) and their print fleet to be functional, often prompting a visit from a copier service technician. This is no more relevant right now than inside schools, where teachers are preparing materials for students. How do you know that your copier service provider is taking all the necessary preventative measures?

How can you ensure that they are not potentially raising the risk of COVID-19 infection inside your workplace?

Here are some Safety Measures you must enforce and expect from your Copier service company

1. Technician should respect your protocols.

Whether it’s simply keeping a safe distance from your coworkers, getting a temperature check, or not entering the building at all, a technician should follow your office protocols exactly to your wishes.

2. Have a mask on when they enter your office.

If not, ask them kindly to put them on. Service providers who are proactively preventing the spread of coronavirus should have technicians (and delivery drivers) wearing a mask when they are in inside the office, the cab of a delivery truck or inside a service vehicle with another person.

3. Sanitize office equipment BEFORE and AFTER its being serviced.

All areas of the device(s) that come into human contact should be cleaned, including control panels, covers, jam locations, etc., with the use of Isopropyl alcohol. While 99.9% Isopropyl alcohol was initially recommended, a solution of 70%+ Isopropyl alcohol can be used.

4. The platen glass should be cleaned as well.

Isopropyl alcohol can also be used, but can leave streaking.

5. They should have a temperature check when they return to their own office.

As offices reopen during COVID-19, body temperature screening kiosks are becoming common place in healthy and safety-conscious workplaces. Regular screenings for every guest or employee arrival help check potential risks at the front door. 

6. Sanitation shouldn’t stop in customers’ offices.

Service technician should be washing hands or using a hand sanitation station just inside their entry/exit door when they return to the office .. and when they head out again.
